MCVFA is seeking RFP for their Website

REQUEST FOR PROPOSAL

The MCVFA is a Massachusetts Non-Profit Corporation. MCVFA is also affiliated with the National Volunteer Fire Council (NVFC). The MCVFA has about 2500 members who are call or volunteer fire and EMS providers in about 150 fire departments across Massachusetts. Membership in the MCVFA costs $20 per member per year. The MCVFA’s annual budget of $70,000 is funded through its $20 membership fee and small fundraising events. The officers of the MCVFA are all volunteers.

The MCVFA also has multiple Facebook pages which are managed by the VPs in each of the five regions and publish and mails a magazine (“Smoke Showing”) to its members three times a year.

Of the 350 fire departments in our state, about 150 of them are combination fire departments that use both call/volunteer and career firefighters. Another 110 fire departments rely entirely upon call/volunteer or volunteer firefighters. Only about 100 fire departments in Massachusetts are completely staffed by career firefighters.  About 45% of all firefighters in Massachusetts are called/volunteers. There are about 100 fire departments in Massachusetts, in most small towns, that rely 100% upon call/volunteer firefighters.

The primary readership of the MCVFA Website is its 2500 members. The secondary readership is other members of the Massachusetts Fire Service who might look to the website for information about the MCVFA as potential members, or for general information such as training opportunities, best practices, contacts to subject matter experts, or information.

 

Objective:

The MCVFA is seeking a new vendor to host and provide technical support to its website. https://mcvfa.org. The MCVFA would like to see the website designed to assist with attracting new future members along with future projects.

Our current website store does not function. Our new website will feature a store that does not require technical management by MCVFA officers.

Management of MCVFA’s official email (i.e. [email protected]) and the “Contact Us” aspect of the site also suffers from some functionality issues.

Presently the redesign aspect of this proposal is the least critical. The current website’s look and feel are acceptable. At most, the MCVFA is seeking proactive suggestions from our website manager/host for ongoing refreshing of the design to keep it engaging and interesting.

 

Qualifications:

The qualifications will be:

  • Three references
  • Samples of work
  • Experience
  • Proposed changes to the existing website

Applicants are encouraged to include a model facsimile of a website posted and managed. The formatting needs to be in word press and the store in an open cart.

Proposals should include a timeline, a breakdown of costs between one-time setup fees, and monthly/annual management or hosting fees.  Any suggestions or proposals for optional services will be accepted.
